Working template. Fill in the bracketed details and have it reviewed by a legal advisor before publishing it as final.
This policy explains what personal data Pairly ("the service") processes when you visit the public portal, who the controller is and what rights you have.
1. Data controller
The controller is [NAME OR COMPANY], with its registered address at [ADDRESS] and privacy contact [PRIVACY EMAIL].
When the service is used from a federation's platform, that federation may be the controller. In that case the federation acts as controller and Pairly as processor.
2. What we process
Public portal browsing: we do not create accounts or use tracking cookies. The server may log the IP address, date and time and requested page for the sole purpose of operating and protecting the service.
Tournament data: the player names, federation, club, birth dates, title and scores shown in the standings are entered by arbiters in order to publish the tournament results.
Arbiter accounts (management app only): name, email address and federation.
3. Purpose and legal basis
Publishing tournament results and standings (legitimate interest and performance of the relationship with the organising federation).
Operating, maintaining and protecting the service against abuse (legitimate interest).
Answering enquiries and support requests (consent or legitimate interest).
4. Retention
Tournament results are kept for as long as the organising federation keeps the tournament published, since they are part of its sporting record. Technical logs are kept for a limited period.
5. Recipients
We do not sell or share personal data. Data may be processed by hosting and infrastructure providers acting as processors under confidentiality agreements.
6. International transfers
If a provider is located outside the European Economic Area, the safeguards of Regulation (EU) 2016/679 apply (adequacy decisions or standard contractual clauses).
7. Your rights
You may request access, rectification, erasure, restriction and portability, and object to processing or withdraw consent, by writing to [PRIVACY EMAIL].
If the data appears in a tournament, direct your request to the organising federation, which decides on its publication. You may also lodge a complaint with the relevant supervisory authority.
8. Cookies
The public portal does not use cookies. It only stores your language preference in your browser's local storage; that information is not sent to third parties.
9. Security
We apply reasonable technical and organisational measures to protect the data: encryption in transit, access control and backups.
10. Changes
We may update this policy. The last review date appears at the top of the page.
